PROCUREMENT TENDER NOTICE

1. INTRODUCTION

Avant Cymru is inviting qualified and experienced suppliers to submit tenders for the supply, delivery, installation, and commissioning of professional sound equipment, including the training of staff on the operation and maintenance of the system. The full installation and staff training must be completed before December 20, 2025

2. SCOPE OF SUPPLY

The successful supplier will be responsible for providing the following items and services:

2.1 Equipment Requirements

• C-Rig Support / Flying Frame C-Rig
• To include all necessary rigging components for suspension and secure mounting of the line array system.
• PA System
• C-208 Line Array Cabinets:
• Quantity: [Specify Quantity]
• Configuration: 2 x 8" drivers + HF
• Power Handling: 600W RMS
• C-118S Line Array Sub Cabinets:
• Quantity: [Specify Quantity]
• Configuration: 1 x 18"
• Power Handling: 1000W RMS
• Flight Cases
• Custom-fitted road cases for all PA system components and accessories for safe transport and storage.
• Radio Microphones
• UHF or digital radio mic systems, including:
• Handheld and belt-pack transmitters
• Receivers with rack-mount kits
• Charging stations
• Required accessories (antennas, mounts, etc.)
• Stage Decking (Deck)
• Modular deck platforms suitable for small to mid-size performance staging.
• Should include leg supports and joining mechanisms.
• Cable Package
• Full set of professional audio and power cables required for complete installation and operation:
• Speaker cables
• Power cables
• Microphone cables (XLR)
• Multicores/snake cables if required
• Cable management accessories (e.g. cable ties, trunking)

2.2 Services Required

• Delivery and Installation
• Delivery to Y The Lab Wrexham
• Professional installation of all sound equipment
• Setup and testing to ensure full functionality
• Staff Training
• On-site training for up to [insert number] staff members
• Covering system setup, operation, troubleshooting, and basic maintenance
• To be completed no later than December 20, 2025.

3. SUPPLIER REQUIREMENTS

Interested suppliers must meet the following criteria:

• Proven track record in supply and installation of professional sound systems
• Ability to complete project within the required timeframe
• Qualified technical staff for installation and training
• Warranty and after-sales support for equipment supplied

5. EVALUATION CRITERIA

6. TERMS AND CONDITIONS

• Avant Cymru reserves the right to accept or reject any or all tenders.
• Late submissions will not be considered.
• All prices must be quoted in [£] GBP and be inclusive of all applicable taxes and charges.
• The successful supplier must enter into a formal contract prior to commencement.
